Description

Are you a highly administrative and detail oriented person? Do you consider yourself a team-player and a self-starter?  The Refuge Clinic is looking for a full-time Administrative Assistant to manage the administrative tasks associated with a busy non-profit clinic! If you have a love for people, are very organized and efficient, this may be the position for you!

Primary Responsibilities:

  1. Manage all incoming phone calls and voicemails, returning voicemails within 24 hours.

  2. Recruit, train, and provide supervision for Front Desk volunteers to manage the daily tasks of the clinic.

  3. Create a welcoming atmosphere to all visitors of the Refuge Clinic creating a ‘first touch’ of hospitality.

  4. Process all new volunteer applications, including collection appropriate documentation and credentialing of volunteer providers and then connecting volunteers to the appropriate staff member for training and follow up.

  5. Create and implement a system to process new patients, including the collection of their insurance information, if applicable.

  6. Manage the clinical schedule in the Electronic Medical Records (EMR) system and make reminder phone calls prior to all clinics.

  7. Process medical record requests and track and maintain records from specialist visits, including scanning all appropriate documents into the medical and dental charts.

  8. Assist with making copies, sending faxes, filing paperwork, keep stock of all appropriate clinical paperwork, etc.

  9. Collect and maintain a database of clinical activity including patient load and services provided.

  10. Other duties as assigned.

  • Positive, joyful attitude that contributes to team efforts with a commitment to improve patient and community care within Fayette and Jessamine County.
